Form 3 — records notice · last revised 1 September 2026

What we keep on the desk, and for how long.

This notice covers the public website at remindbot.ai and the reminder service behind it. The public pages are static files. They do not set cookies, and they do not contain analytics scripts. The service is a different drawer.

Who we are

Remindbot is a partnership of Mara Ellison and Niles Park, doing business from 414 W Tilghman St, Suite 2B, Allentown, PA 18102. Questions about records go to privacy@remindbot.ai, or to the same street address, attention Records.

What this public site collects

Nothing from your browser on purpose. There is no account form here, no tracking pixel, and no third-party font or script. If you email us from a link on these pages, we receive whatever you put in that message, plus the ordinary headers your mail system attaches.

Our web host keeps routine server logs (time, path, status code, and a truncated address) for 14 days to find broken pages and abuse. We do not match those logs to reminder accounts.

What the reminder service stores

If you open a desk, we keep:

Record Why Kept until
Name, email, optional mobile number To send the reminder on the channel you asked for Until you close the desk, then 30 days
Reminder text, window, interval, and channel That is the product Until you delete the slip, then 30 days
Household members you add To copy a reminder to the people you named Until you remove them
Delivery logs (sent, bounced, replied “stop”) To retry inside the window and to honor opt-out 90 days
Billing email and last four of the card, if Household To collect $4 a month or $36 a year As long as the rate is active, then 7 years for the ledger
Mailing address, if you buy the paper digest To print and post the quarterly sheet Until you cancel the digest

We do not read reminder text for advertising. We do not sell lists. We do not build a profile of you for anyone else. Niles may open a slip if you write in about a missed ping; Mara may open it if you call. That is the whole access list.

Who else sees anything

  1. The US host that keeps the database, in Virginia.
  2. The mail sender we use for desk@remindbot.ai.
  3. The text sender we use for the 610 number.
  4. The card processor, if you pay. We do not keep the full card number.
  5. Park & Sons Printing, downstairs, sees only the quarterly digest: first name, city, and the list of reminder titles you already chose to print. They do not get email or phone numbers.
  6. The accountant in Bethlehem sees invoices, not reminder text.

We will hand records to a court if we are required to. We will tell you unless we are told not to. That has not happened.

Texts, email, and stopping

Texts are sent only if you asked for them and gave us a number. Reply STOP and we cease texts to that number within one business day. Email has an unsubscribe link; you can also write privacy@remindbot.ai. Stopping texts does not close the desk. Closing the desk stops both.

We do not send marketing campaigns. The only mail you get from us, besides reminders, is the setup sheet, receipts, and — if you paid for it — the quarterly digest.

Your requests

Write to privacy@remindbot.ai from the address on the desk. We will, within 14 days:

  • Send you a copy of the slips and account fields we hold.
  • Correct a name, number, or address.
  • Close the desk and delete reminder text after the 30-day hold (billing records remain as required).

If you are in a state or country that names additional rights, write anyway; we are small enough to do the reasonable thing without a portal.

Art. 07

Children, security, changes

Remindbot is not for children under 16. We do not knowingly keep a desk for one. If we learn that we have, we close it.

Slips are stored encrypted at rest. Mara and Niles sign in from the office and from home, on machines we own. We do not have a public status page; if the desk is down at 8:32 we hear about it because we use it ourselves.

If this notice changes in a way that affects what we keep or who sees it, we will date the top of this sheet and email every open desk. Cosmetic edits to these public pages do not get a letter.
